Problem

Opening a branch in a new city was the moment when the team agreed there is a need to implement a cloud-based ATS

All information about the Candidates was stored in an Excel file. It was just a list of records; without the possibility to track activities connected withe the Candidates or to generate reports.

Interview notes and Candidate files were spread across different tools and mailboxes - this way the team did not have full and equal access to Candidate information. As the team grew, the problem with the efficient flow of information became more visible.

Both the recruitment team and the sales team wanted a tool that would aggregate information about Candidates, Clients and the progress of processes ran for them. In such a competitive industry, time is of the essence (for both management and Clients) - it can it be monitored only when gathering everything in one place.

TRAFFIT role

The first step was to import all the Candidate data to the system and to organize them

Candidate profiles were enriched with notes and summaries of the job interviews. Candidate profiles in TRAFFIT are fully customizable - that is why it was possible to adapt them to KUBO's needs and aggregate all necessary data in one place.

The implementation also enabled better management of RODO consents. The system allowed KUBO team to easily add new consents the the application forms and gave an overview of the history and status of consents given by all their Candidates.

Clear information about the team's workload and whether the applications are processed optimally

Now KUBO team knows at first glance - what is being done the best possible way, and what could be done better (or faster). That's possible mainly thanks to:
- recruitment reports,
- the Candidate pipeline view of the processes, where all the users have access,
- user activity statistics.

Conclusion

The possibility to customize the Candidate profile, the application forms, and the workflow meant that the implementation of the ATS did not require a change in the way the team works. TRAFFIT allowed all of them to be mapped into the system.
